Introduction

  • This page provides our policies and procedures for collecting, using and disclosing your information and outlines the security measures we’ve put in place to protect the information that you store using Collaaj’s services, including the services made available through this website, the Collaaj cloud storage system, the Collaaj client software and any other software or services offered by Collaaj in connection with any of those (the “Services”). By using these Services, you consent to the collection, transfer, processing, storage, disclosure and other uses of your information described in this Privacy Policy. If you are using the Services on behalf of an organization, then you are providing such consent for that organization and representing that you have the authority to provide such consent. In such a case, “you” and “your” will also refer to that organization, wherever possible.

What information does Collaaj collect & store?

    • Personal Information

      When expressing an interest in obtaining additional information about the Services or registering to use the Services, Collaaj requires you to provide your personal contact information, such as your name, company name, address, phone number, and email address (these are referred to below as your “Personal Contact Information”). When purchasing the Services, Collaaj also requires you to provide financial and billing information, such as billing name and address, credit card number, and the number of employees within the organization that will be using the Services (“Billing Information”).

    • Data, Diagnostic & Login Information

      Using Collaaj’s Services, you will be able to create, upload, store and share information such as data files, images, audio, video, screen, whiteboard recordings and other multimedia content online (this is collectively referred to below as “Data”). This information will be stored and maintained on Collaaj’s servers. If you run into technical errors in the course of using the Services, Collaaj may request your permission to obtain a crash report along with certain logging information from your system documenting the error (“Diagnostic Information”). Such information may contain information regarding your Operating System version, hardware, browser version (and .NET version information in case of Windows systems), and your email address. Additionally, certain login information is maintained in a cookie stored locally on your computer (i.e. not on a server) in order to streamline the login process (“Login Information”). Passwords are never stored in clear text, either on the server or on your client device.

    • Analytics Information

      As you navigate Collaaj’s web site (and use our Services), Collaaj may also collect information through the use of commonly-used information-gathering tools, such as cookies and Web beacons (“Web Site Navigational Information”). Web Site Navigational Information includes standard information from your web browser (such as browser type and browser language), your Internet Protocol (“IP”) address, and the actions you take on Collaaj’s web site (such as the web pages viewed and the links clicked). Collectively, this information is referred to as “Analytics Information.”

  • Geo-Location Information

    Today, Collaaj does not collect any information regarding your real-time geo-location while using the Services. However, it may do so at some point in the future. We will request your permission before collecting such information.

What does Collaaj do with the information it collects?

Collaaj uses the information it collects in the following ways:

Information Collected Use
Personal Contact Information We use this information primarily to administer the Services to you and to provide you with updates and product announcements. You can edit your notification preferences regarding updates and announcements from your accounts page. We never sell your contact information to anyone.
Billing Information Collaaj does not store any Billing Information on its servers. Instead, we use Authorize.Net to store and process all payment related transactions. Please click here for information regarding Authorize.Net’s privacy policy. Please see our Pricing Policy for the terms.
Data, Diagnostic Information and Login Information We never use your Data and Login Information for anything other than administration of the Service and any troubleshooting. We use Diagnostic Information solely for the purpose of administering and improving our Services to you.
Analytics Information Collaaj may use your Analytics Information in conjunction with an analytics service such as Google Analytics to monitor and analyze use of the Services, for the Services’ technical administration, to increase the Services’ functionality and user-friendliness. Collaaj currently uses the services of (Google Analytics). Sharing & Disclosure of Private Information

    • Third Party Applications and Your Use

      Collaaj provides users with the ability to link to their Data on third party solutions such as Facebook, Twitter, Google Plus, and LinkedIn. Such linking is at the complete discretion of users. Because of this, Collaaj cannot be held responsible or liable for the linking of user’s Data to such third party solutions, nor for how such third party solutions use such links. Also, please note that when you link to, post, share, or comment on Data, your name and profile picture, if any, will be visible to anyone with authorization to view the Data.

    • Marketing and Publicity

      Per our Terms of Service, you agree to permit Collaaj to identify you as a customer and to use your name and/or logo in Collaaj’s website and marketing materials.

    • Sale of Personal Information

      Collaaj does not sell, rent, or trade your private information to any third parties in any way.

    • Service Providers and Business Partners

      Collaaj may use certain trusted third party companies and individuals to help us provide, analyze, and improve the Services (including, but not limited to, data storage, maintenance services, database management, web analytics, payment processing, and improvement of the Services’ features). These third parties may have access to your information strictly for the purposes of performing these tasks on our behalf and under obligations similar to those in this Privacy and Security Policy. As of the date this policy went into effect, we use Amazon’s S3 storage service to store some of your information (for example, your Files).     • Compliance with Laws and Law Enforcement Requests and Protection of Collaaj’s Rights

      We may disclose to parties outside Collaaj your Data and the information that we have about you when we have a good faith belief that disclosure is reasonably necessary to (a) comply with a law, regulation or compulsory legal request; (b) protect the safety of any person from death or serious bodily injury; (c) prevent fraud or abuse of Collaaj or its users; or (d) to protect Collaaj’s property rights.

    • Business Transfers

      If we are involved in a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction, but we will notify you (for example, via email and/or a prominent notice on our website) of any change in control or use of your Personal Contact Information, Billing Information or Data, or if such information becomes subject to a different Privacy Policy. We will also notify you of choices you may have regarding such information.

  • Non-Private or Non-Personal Information

    We may disclose your non-private, aggregated, or otherwise non-personal information, such as usage statistics of our Services, in our discretion.

Changing or Removing Your Information

  • You may change or delete your Personal Contact Information and Billing Information at any time. You may do this from your accounts page.

Data Retention

  • We will retain your information for as long as your account is active or as needed to provide you the Services. If you wish to cancel your account or request that we no longer use your information to provide you the Services, you may delete your account from your accounts page. If you delete your account, your Data will no longer be stored in our servers. While we try to delete your Data from our servers as quickly as possible, please be aware that there may be a delay from the time you delete your account to the time that your Data is removed, and that some of your Data may continue to exist for a period in backup copies.

Community

  • Our Services may include publicly accessible community services such as blogs, forums, and wikis. Please be aware that any information you provide in these areas may be read, collected, and used by others who access them. Your posts on these communities may remain even after you cancel your account.

Security

    • The security of your information is very important to us. When you enter sensitive information (such as a credit card number) on our order forms, our payment processing provider encrypts the transmission of that information using secure socket layer technology (SSL).     • We use appropriate administrative, technical, and physical security measures to protect your information, both during transmission and once we receive it. No method of electronic transmission or storage is 100% secure, however. Therefore, we cannot guarantee its absolute security. Below is a summary of the security measures we take regarding your information:

      Storage Metadata is stored in our cloud databases on Amazon RDS but physical media such as video files are stored on Amazon S3. Such data on Amazon S3 is not encrypted, but can only be accessed after authentication.
      Amazon S3 stores data over several large-scale data centers. You can find more information about Amazon’s security at the Amazon Web Services’ S3 site .
      Amazon and Collaaj also employ significant protection against network security issues such as Distributed Denial of Service (DDoS) attacks, Man in the Middle (MITM) attacks, and packet sniffing.
      Streaming Recordings files streamed from our servers are not encrypted. Public recordings are accessible to everyone. However, private recordings will need to pass through auth before streaming. The default setting is public.
      Backup We use backups from Amazon S3, which uses redundant backups over multiple locations to reduce the remote chance of data loss. Furthermore, your Data is also maintained locally on your PC/Mac and is not deleted unless you delete it yourself or otherwise change the client settings to not keep local copies. Please note that on tablets and smart phones, the default setting is not to keep local copies after upload to server. If you wish to keep local copies, you can change the setting from the mobile/tablet app.
    • We take a number of measures to ensure that the data you store on Collaaj is safe and secure. Even though we are very confident in the security behind our technology, we recognize that no system can guarantee data security with 100% certainty. For that reason, we will continue to innovate to make sure that our security measures are state of the art, and we will investigate any and all reported security issues concerning Collaaj’s services or software.     • Our Services are not directed to persons under 13. We do not knowingly collect personally identifiable information from children under 13. If a parent or guardian becomes aware that his or her child has provided us with Personal Information without their consent, he or she should contact us . If we become aware that a child under 13 has provided us with Personal Information, we will take steps to delete such information from our files.
    • This Privacy and Security Policy may change from time to time. Please visit this page regularly to review our Privacy and Security Policy for any changes. By continuing to use the Service after those changes become effective, you agree to be bound by the revised Privacy and Security Policy.
